1. Booking & Retainer

A non-refundable retainer of 30% of the total quote amount is required to secure your event date. Your booking is not confirmed until the retainer is received and a signed service agreement is returned to Instapix Events.

Quotes are valid for 10 days from the date issued. After expiration, pricing and availability are subject to change.

2. Payment

The remaining balance is due before the start of the event. Accepted payment methods include cash and e-transfer (preferred). Credit card payments are accepted with a 3% processing surcharge. We do not accept cheques.

All prices are in Canadian dollars (CAD) and subject to 13% HST.

3. Cancellation Policy

All cancellations must be submitted in writing via email.

4. Event Changes

Date changes are accommodated based on availability and must be requested at least 14 days before the original event date. One date change is permitted at no additional cost. Additional date changes may incur a $50 rescheduling fee.

5. Setup & Space Requirements

Instapix Events requires a minimum 8 x 8 ft clearance for booth setup, access to a standard 3-prong electrical outlet within 5 metres, and a flat, dry surface. For outdoor events, a tent or covered area is required.

Setup begins 30–60 minutes before the contracted start time. Teardown takes approximately 30 minutes after the end time. Setup and teardown time is not counted toward your booked hours.

6. Service Hours

Booked hours begin at the contracted start time, regardless of when the first guest uses the booth. Extra hours beyond the package can be added at $150/hour (Silver, Gold, Diamond) or $100/hour (Digital), subject to availability.

7. Holiday & Rush Bookings

A $150 surcharge applies to events on statutory holidays. Same-week bookings (less than 7 days notice) are subject to an $80 rush fee, subject to availability.

9. Photo Rights & Usage

Instapix Events retains the right to use photos taken at events for marketing, portfolio, and social media purposes unless the client requests otherwise in writing before the event. Guests retain full rights to their individual photos for personal use.

10. Liability

Instapix Events carries liability insurance for all events. However, we are not responsible for damage to the venue or injuries caused by guests interacting with the photo booth or props.

In the unlikely event of equipment failure that prevents service delivery, Instapix Events will provide a full refund for the affected portion of the booking.

11. Custom Templates & Designs

Template customization begins after the signed agreement and retainer are received. Design revisions must be finalized at least 3 days before the event. Instapix Events will provide up to 3 rounds of revisions at no additional cost.
